Commercial Administrator

An exciting opportunity to join our Commercial function; as we continue to grow and expand, we are seeking a dedicated individual to provide support to cross-functional teams to align purchasing and sales processes with business objectives.

Role Overview

As a Commercial Administrator, you will play a key role in supporting the commercial operation by managing the full quote to contract process and ensuring timely and accurate processing of finance orders. You will be responsible for overseeing the purchase order cycle, from order placement through to goods receipt, three times daily. This role involves monitoring and responding to queries in both the Sales Admin and Commercial inboxes both fast paced and need attention to detail ensuring prompt and effective resolution. You will update contract statuses based on daily banking activity, daily ETA calls to confirm delivery schedules. 

Key Responsibilities

  • Manage the quote to contract process.
  • Process Finance orders
  • Purchase order process from order to good receipt 3 times daily
  • Monitor and respond to incoming requests in the Sales Admin Inbox and Commercial Inbox, resolving queries efficiently
  • Contract status updates from the daily banking
  • Record and process customer deposits accurately
  • ETA (Estimated Time of Arrival) calls daily for delivery
  • Maintain the manual payment log and produce
  • Investigate and resolve invoice queries, liaising with internal teams through action on MCS 
  • Assist with supplier desk audits, ensuring documentation and compliance are up to date

  • Previous experience in a commercial administration or sales support role is desirable
  • Strong organisational skills with a keen eye for detail

Purpose of Job

  • To assist the depot in all its day-to-day operational functions with priority focus on repair, fabrication and construction of buildings ensuring a high-quality finish. Using basic welding plumbing, joinery etc to restore buildings and accessories.

Key Responsibilities

  • Prepare, clean, maintain and re-configure the Company’s wide range of buildings and accessories in an efficient and safe manner.
  • Contribute to the design ideas of bespoke buildings to improve the product quality and ways of working.
  • Minimise material wastage through ensuring that we only use the materials necessary to complete the job
  • Provide PDI and QC check sheets for the relevant product you are working on and report any quality / repair issues.
  • Prepare accommodation and modular buildings in an efficient and safe manner as per the asset preparation guidelines so that they are ready to leave the depot as and when required.
  • Ensure all furniture and accessories are checked for damage on return to the depot, removing any pieces of furniture from the cabins and returning them to storage.
  • Assist in the safe loading and unloading of cabins, container buildings and materials, ensuring they are stored in the correct place.
  • Ensure that whilst working on customers sites you comply with the relevant Health + Safety Processes and report any concerns to your line manager.
  • Assist the Depot on all day-to-day duties as and when necessary.
  • Maintain organisation and the highest level of cleanliness in the depot and workshop at all times to ensure a safe working space.
  • Adhere to current health and safety legislation and carry-out any necessary health and safety training.
  • Carry-out any necessary training required for your role which includes but is not exhaustive to welding and fabrication works, electrical testing, WAH, abrasive wheels, ladder inspection, completing this to the best of your ability and applying this learning to your daily work.
  • Raise promptly health and safety concerns as and when they occur with the Depot Manager, SHEQ Director or Operations Director.

Job Purpose

The National Field Technician is responsible for the installation, maintenance, repair, and commissioning of site accommodation and modular buildings across the UK. This role involves working on a wide range of modular units including offices, welfare units and toilets, ensuring they are delivered and maintained to the highest standards of safety, functionality, and customer satisfaction.

Key Responsibilities

Installation & Setup

  • Install and commission modular buildings on customer sites to agreed specifications and timelines.
  • Connect staircases, electrical, plumbing,
  • Conduct on-site snagging and handovers with customers or project managers.

Maintenance & Repairs

  • Perform scheduled and reactive maintenance of modular & AV units, including plumbing, electrical systems, joinery, and basic groundwork.
  • Diagnose and resolve faults efficiently to minimise downtime.
  • Complete all repairs in line with H&S guidelines and quality standards.

Site Visits & Inspections

  • Travel nationwide to customer sites as required, with overnight stays.
  • Conduct inspections and condition reports to support asset lifecycle management.

Customer Service & Communication

  • Serve as a professional point of contact on-site, providing clear communication to clients regarding technical issues, progress updates, and resolutions.
  • Escalate major issues or risks to the relevant internal teams promptly.

Compliance & Documentation

  • Ensure all work is completed in accordance with Health & Safety regulations, RAMS, and company policies.
  • Maintain accurate records of work completed, materials used, and time spent via company systems or job sheets.

Key Skills & Experience Required

  • Proven experience in a technical role within modular buildings, construction, plant hire, or facilities management.
  • Multiskilled – confident in basic joinery, electrical, plumbing, and mechanical work.
  • Relevant trade qualifications (e.g. NVQ, City & Guilds, 17th/18th Edition, Plumbing Level 2).
  • CSCS card preferred.
  • Strong understanding of H&S requirements and site compliance.
  • Full UK driving licence – essential.
  • Comfortable with nationwide travel and overnight stays when required.
  • Excellent problem-solving skills and ability to work independently under pressure.

Hire Controller

Purpose of Job

Key Responsibilities

  • To be responsible for the day to day running of Cleveland Hire activities to ensure customer requirements are met and sales revenue is optimised.
  • To be responsible for coordinating on-hires/off-hires and working with existing functions to ensure ease of administration and invoicing.
  • To work with existing teams to monitor stock levels and ensure customer lead times can be met and delivered.
  • To manage and improve the hire process from start to finish, ensuring high levels of customer service.
  • To use logic to arrive at decisions or solutions to problems that achieve the desired outcome and to attend review meetings and ensure action points are responded to in a timely manner.

  • To update the delivery note and work with the hauliers to have the signed document returned, entered onto the file, and sent to the representative and/or customer.
  • To be responsible for off hire contracts, updating the collection note and working with hauliers to have the signed document returned (Proof of Collection).
  • To liaise with the suppliers to off hire items, book in final empties and ensure we receive the correct documentation to support for cross hire products and/or servicing,
  • To work with the Transport team to ensure all relevant information regarding site access, running order, stacking, and linking is captured to ensure successful on time in full delivery.
  • To check all delivery information from the delivery note to ensure flow through of any specific information captured at the point of delivery for off-hires.
  • To update a log of all cross-hire items and/or servicing to ensure we have visibility of cross hired items, the rate we are being charged and the rate we are charging to our customer.
  • To liaise with the branch to ensure damage inspection forms are fully completed with photographic evidence at the point of off hire and the units being returned to our branch. This information will then be collated in line with our standard rebills and sent to the customer.To control all job cards for works carried out to the units,
  • ensuring service level agreements are adhered to.
  • To control all pre-delivery inspections for units going on hire, recording this in a central file.
  • To work with the Operations team to ensure stock control is effectively managed both in our branches and at the point of unit availability checks. 
  • To take ownership of all service requests, ensuring they are actioned by third parties. The costs will then be captured ready to send to credit control to create the invoice.
