Purpose of the Role

We’re looking for a proactive and organised Project Support Coordinator to join our Conversions team. In this vital role, you’ll help ensure the successful delivery of bespoke shipping container conversion projects by supporting project coordination, enhancing communication across departments, and delivering high quality administrative support. This is an exciting opportunity to be part of a fast paced and creative environment, where your input will directly contribute to the smooth running and commercial success of our operations.

Key Responsibilities

  • Support the delivery of conversion projects by coordinating tasks and maintaining project timelines.
  • Build and maintain strong working relationships with both customers and suppliers, ensuring outstanding service and communication throughout each project.
  • Assist in maintaining accurate project schedules, plans, and status reports to ensure progress stays on track.
  • Act as a communication bridge between internal teams (sales, production, transport) and external partners, keeping everyone aligned on project expectations and changes.
  • Regularly update the sales pipeline and workshop capacity trackers to reflect real-time project activity.
  • Provide general administrative support, including document control, filing, data entry, and purchase request preparation.
  • Review project estimates and specifications to prepare procurement lists, develop estimates using templates, and match project specs with standard drawings.
  • Keep pricing templates and estimate documentation current with the latest materials, costs, and production methods.
  • Maintain and expand the company’s ‘Xtras’ and ‘Construction’ document libraries in collaboration with other departments.
  • Upload and manage project data within our central sales and rental management system.
  • Collate and issue all necessary documentation and certifications for project handovers, including Operation & Maintenance (O&M) Manuals.
  • Work closely with the Conversions & Estimating Manager to ensure robust document control processes are consistently applied.
  • Provide ad hoc administrative support to the sales and management teams as required.

What We’re Looking For

We value people who bring ideas, energy, and drive. Success in this role requires:

  • Excellent communication skills - You’ll be interacting with a wide range of stakeholders.
  • Strong organisational abilities - You can manage multiple tasks and deadlines efficiently.
  • Proactive problem-solving - You seek solutions rather than waiting for direction.
  • Creativity - You bring fresh thinking to challenges and processes.
  • Attention to detail - Accuracy and consistency are key, especially in documentation.
  • Time management - You can prioritise effectively and work independently.
